  • Overview

    This position provides administrative support to the Forward Planning Vice President and Director including the overall Department and the managers, through a variety of related responsibilities. The position requires an ability to handle multiple tasks under deadlines, good judgment and a professional, supportive attitude. 

    Responsibilities

    • Special Events: Manage and organize Department special events including lunch & learns, site tours, lunches, holiday events, and overall Division events.
    • Reports and TrackingPrepare and manage special Division reports and tracking tools using MS Access, Box, and other software.
    • Manage Department Schedule – Manage and update Department schedule including budget reviews and other regular events.
    • Assist Project Managers with special tasks as needed including preparing reimbursement packages, setting meetings, assisting with accounts payable, or running errands.
    • Assist purchasing department as needed when workflow dictates.
    • Special Projectsassist Vice President and Directors with special projects related to the Department and Division.
    • Best Practices, Training, and Standard Operating ProceduresUpdate and maintain best practice lists, training lists, and standard operating procedures as needed.
    • Temporary Staffing - Support the day-to-day department workload related to the team to fill in where needed for project administrators, purchasing, or project coordinators.
    • Turnover DocumentsPrepare sales turnover and construction turnover documents as needed.
    • Perform all other duties as assigned.

    Qualifications

    • Three (3) - five (5) years administrative assistant experience, preferably with a homebuilder
    • High school diploma or GED required
    • Valid, unrestricted Motor Vehicle license
    • Accurate typing 50-60 wpm
    • Strong written and verbal communication skills
    • Intermediate skills in Microsoft Office (Word and Excel) on PC platform
    • JD Edwards system experience preferred
    • Good interpersonal skills and ability to communicate effectively
    • Must possess professional appearance and demeanor
    • Must possess ability to handle priorities under pressure
    • Maintain regular attendance and punctuality relative to daily work schedule is required
    • May require some evening and weekend hours to meet deadlines
    • Follow directions from a supervisor
    • Interact well with co-workers
    • Understand and follow work rules and procedures
    • Accept constructive feedback
    • Team player
