    POSITION SUMMARY:   

     

    Administrative support for department/managers. Basic administrative support to Land Development and Homebuilding departments, preparation of business letters, memos, standard operation forms and correspondence via fax, phone, email and courier.  Responsible for tracking key programs in the Division as well as coordinating meetings and company events.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Provide general support to Office Manager and office staff
    • Handle and screen all incoming/outgoing mail and faxes and incoming calls
    • Type and proofread letters, memos, reports, and other correspondence
    • Establish and maintain appropriate documentation and files as needed
    • Coordinate company meetings and events
    • Maintain Division files
    • Work with suppliers and utility companies as necessary to resolve invoicing issues
    • Work on various special projects as assigned by Director of Operations
    • Make business travel arrangements for executive level division associates
    • Compile presentation materials for quarterly operations review meetings
    • Order flowers, food and other gifts as necessary for the Division
    • Cross train in other areas as necessary
    • Manager front desk and assist office visitors

    Qualifications

    EDUCATION AND ADDITIONAL REQUIREMENTS:

    • High School Diploma or GED required
    • Minimum 4 years experience in administration
    • Minimum 2 years in homebuilding related experience
    • Excellent written, oral, organizational and math skills
    • Must possess professional attitude to represent the company in a positive manner
    • Proficient in Word and Excel
